Cancel a subscription, export your configuration and delete an organisation

llms.txt

Leaving should be as clear as joining. In SrvYard there are three separate steps, and they do not depend on each other: cancelling the subscription (stops the payments), exporting the configuration (keeps a copy of how everything was set up) and deleting the organisation (removes it for everyone). You can do one without the others, but when you do all three, do them in this order.

This article explains what each step does and does not do, what blocks it, and what you should check before you press a red button. Nothing in the first two steps is destructive. Deleting an organisation cannot be undone.

Before you begin

  • Billing steps need the owner. Cancelling needs billing:manage, which only the owner role has. Deleting the organisation needs organization:delete, also owner only. Exporting needs bundles:export.
  • Think about the machines. Cancelling a subscription does not touch your servers. And taking a server out of SrvYard does not always remove the machine at your cloud provider, where it keeps running and keeps costing money until you delete it there. Read Rename, resize, delete or forget a server before you remove servers.
  • Think about backups. Backup archives live in your own storage provider. Download or copy what you want to keep: see Restore a database or files.
  • Tell your team. Deleting the organisation removes it for every member.

1. Cancel the subscription

Open Settings > Billing. Next to the payment method is Cancel subscription.

The Cancel your subscription dialog
Cancelling takes effect at the end of the period you have paid for.
  1. Keep subscription. Closes the dialog and changes nothing.
  2. Cancel at period end. Confirms. The dialog explains what follows: "Business stays active until the end of the current period (21 Nov 2026), then your account moves to the free plan. You can resume any time before then."

After you confirm, a message says "Subscription will cancel at the end of the billing period." The plan keeps working until that date, so there is nothing to gain from cancelling early, and nothing to lose. The page then shows a Cancels badge with the end date and a Resume subscription button. Press it before the date and the subscription carries on as before, with no new checkout.

Important

Cancelling is refused while you use more than the free Hobby plan allows. SrvYard names what to reduce first, for example "You cannot move to Hobby yet. Reduce first: Servers (10 of 1), Sites (24 of 3)." Hobby allows one organisation, one server, three sites and three team members per organisation. Remove or archive the rest, then cancel.

Cancelling does not delete anything. When the period ends, your account is on the Hobby plan, and the Hobby limits apply from then on: you cannot add more servers or sites than that plan allows.

2. Export a copy of the configuration

Open Settings > Export / import. The page says: "Move this organisation's configuration to another organisation or instance, or keep a copy of it. Machines are never touched by an import."

The Export tab with what to include
Choose what to include, then create the export.
  1. Export | Import. Two tabs. Export builds a file; Import loads one into an organisation.
  2. What to include. A tick box for each kind of configuration, with the number of records next to it. The groups are Organization (settings, tags, custom roles, organisation SSH keys, recipes, shared dashboards, teams), Servers (the servers, Nginx templates, your firewall rules, the keys allowed on servers, monitors), Data and backups (storage providers, databases, backup schedules, file backups) and Sites and processes (sites, daemons, scheduled jobs, heartbeats). Items marked has secrets hold credentials.
  3. Include secrets. Off by default. Without it the file holds no secrets: "the fields that have one are marked and left empty".
  4. Create export. Builds the file, here "(39 records)".

What an export is, and what it is not: it is configuration only. "Nothing about the machines themselves, no user accounts, no billing, no API tokens." It holds database names and users but no database dumps, and no backup archives. The file is built in the background and kept for seven days. The download link is signed, expires in minutes and only works while you are signed in. Finished and earlier exports are listed under Previous exports, where you download or delete them.

Secrets need a passphrase

Switch Include secrets on and the card grows.

The Secrets card with the passphrase fields
Secrets are only included with a passphrase that you choose.
  1. Include secrets. Credentials, tokens and passwords are sealed with your passphrase. Two extra switches choose Environment files (the .env of every site you export) and Include server access keys ("Whoever opens the file gets root on them").

Then fill in Passphrase (at least 12 characters, never stored: "lose it and the secrets in the file cannot be recovered"), Repeat the passphrase, an optional Hint (shown to whoever imports the file, stored unencrypted, so never the passphrase itself) and Your account password. Only the owner can put secrets into an export.

Warning

Treat an export with secrets like a password manager file. Store it and the passphrase in different places, and delete the export from SrvYard when you no longer need it.

3. Delete the organisation

When the servers are gone and you have what you need, open Settings > General and scroll to the Danger card.

The Danger card
Deleting an organization is at the bottom of its general settings.
  1. Delete organization. The card says "Deleting the organisation removes it for every member, together with its settings, keys and connections. Its 10 servers must be removed first."

Remove or transfer every server first. SrvYard checks and refuses with "Remove or transfer this organisation's servers before deleting it." Transferring a server to another organisation needs the servers:transfer permission and a plan with room there.

Press Delete organization. A dialog asks you to confirm.

The Delete organisation dialog
You confirm by typing the organization name.
  1. Organization name. Type the name exactly as it is shown, here "Acme Studio". If it does not match, SrvYard says "Type the organisation name exactly to confirm." The red Delete organization button becomes available only when it matches.

After deleting, the organisation is gone for every member and SrvYard sends you back to the dashboard. The deletion is recorded in the audit trail. There is no undo, which is why the export came first.

Note

Deleting an organisation does not cancel your subscription. The subscription belongs to your account, not to the organisation. If you want to stop paying, cancel it in step 1 as well.

Troubleshooting

  • "You cannot move to Hobby yet." You are above the limits of the free plan. Reduce what the message lists and try again.
  • Cancel subscription is missing. There is no active subscription (you are on Hobby already, or the plan was granted by SrvYard), or you are not the owner.
  • I cancelled but I am still being charged. Cancelling takes effect at the end of the period. The Cancels badge shows the date.
  • "Remove or transfer this organization's servers before deleting it." The organisation still has servers. Remove them from SrvYard, or transfer them, then delete.
  • My export is not in the list yet. It is built in the background. Wait a moment and reload the page; finished exports appear under Previous exports.
  • I lost the passphrase. The secrets in that file cannot be recovered. Make a new export with a new passphrase.
  • I deleted the wrong organisation. It cannot be restored. Create a new one and import an export if you have one: servers will wait for access and nothing connects until you reconnect them.
