Change your plan, update payment details and find invoices
Billing in SrvYard is handled for you by Stripe, a payment provider. You choose a plan on the Billing page, Stripe takes the payment, and the plan switches on. This article follows the page from top to bottom: the card for your current plan, the buttons to change it, what a downgrade checks, how to update a payment card and where your invoices are.
Which plan is right is a question for Compare plans and know your limits. This article is about doing it.
Before you begin
- You must be the owner. The Billing page needs the billing:manage permission. Only the owner role has it. Other members who open the address are refused.
- The plan belongs to the owner's account, not to the organisation. Changing it changes the limits of every organisation the owner owns.
- Know what you use. A downgrade is refused while you use more than the smaller plan allows. Read your usage first: see Read the usage page.
- A card for paid plans. The first paid subscription asks for a card on a secure Stripe page. SrvYard never sees or stores the card number, only the brand and the last four digits.
1. Read the current plan
Open Settings > Billing. The page is titled "Your plan, what you use, your payment method and invoices."
- Plan and status. The name of the plan with a Current plan badge and when it Renews. During a free trial a Trial ends badge shows the date; once you have cancelled it shows Cancels with the end date. Under the name is a hint: the description of the plan, or a warning such as "You are using 9 of 10 servers. Business raises this limit." when you are close to a limit.
- Payment method. The brand and last four digits of the card used for the subscription, and Update. Before you have a paid plan it says "No payment method".
- Cancel subscription. See Cancel, export data and delete the organisation. Next to it, Manage in Stripe opens Stripe's own page for your subscription.
- Usage meters. Servers, sites, team members, organisations and deployments this month, each as "used / limit". A meter changes colour as it fills.
Check the meters before you change
The meters are the quickest way to see whether a smaller plan would fit.
- Servers. Servers that are not archived, against the limit of the plan. Unlimited means no cap.
- Organizations. The organisations you own, for example 2 of 10. A smaller plan allows fewer, so this is often what blocks a downgrade.
- Deployments this month. Every deployment since the first of the month. It is the only meter that starts again each month.
2. Choose your currency
SrvYard bills in pounds (£), euros (€) or US dollars ($). Above the plan cards, the currency switch (GBP £ | EUR € | USD $) decides which prices you see and which one you buy: Pro costs £5, €6 or $6 a month, and Business £12, €14 or $15 a month, with a year costing ten months.
- GBP £ | EUR € | USD $. The currency switch. The selected button is the currency of the prices below it. Here the other two buttons are greyed out because a subscription exists.
- The locked note. Appears only while you have a subscription, and names the currency you are billed in.
- The first choice is made for you. The page starts in pounds in the UK, euros in the European Union and dollars everywhere else, and in pounds when your country cannot be told. You can change it at any time, and SrvYard remembers your choice on your account.
- A subscription fixes the currency. Stripe keeps one currency for a customer once a subscription exists. While you have one, the switch is locked to its currency and says so: "Your subscription is billed in £ (GBP). To change currency, cancel it and subscribe again in the new one." The plan cards, the Renews line, the dialogs and your invoices all stay in that currency.
- To change currency, cancel the subscription, wait until it has ended, choose the new currency and subscribe again. If Stripe refuses because your account has already paid in another currency, write to support and we will switch your billing currency.
3. Switch between monthly and yearly
In Change plan, the Monthly and Yearly buttons decide which price the cards show and which one you buy. Yearly shows the monthly equivalent and, for example, "Billed £120 a year" in small type, and the button says how much you save. The switch starts on the interval of your current subscription.
4. Upgrade
On the card of a bigger plan the button reads Upgrade to and the plan's name. Pressing it opens a dialog.
- The title is Upgrade to Pro (or Business), the description gives the price, for example "£5 / month", and, if you have never subscribed, mentions the free trial: "Starts with a 14-day free trial." when a trial applies.
- You get lists what changes: each limit going from the old to the new value and each feature you gain.
- Continue to checkout takes you to Stripe's secure checkout page, where you enter the card and can use a promotion code. After paying, Stripe sends you back to the Billing page, which shows the new plan.
If you already have a paid subscription, the button of the dialog reads Continue in Stripe and opens the subscription change in Stripe, where the change is prorated: you pay or get credit for the days left in the period.
In a test or demo environment where a plan has no Stripe price, its card shows Contact sales instead of an upgrade button, as in the screenshots here. Your own billing page shows the real buttons.
5. Downgrade
A downgrade starts from the card of a cheaper plan, whose button reads Downgrade to and the plan's name. The dialog lists what you would lose, and SrvYard checks your usage first.
- You are over the Hobby limits. The red box names every limit you exceed, for example "Servers: 10 in use, Hobby allows 1". While it is there the confirm button stays disabled. Remove or archive the extra servers and sites, remove members, or delete organisations, then come back.
- Cancel. Closes the dialog without any change.
Below the box, You lose lists the lower limits and the features that go away. When the check passes the confirm button works:
- To the free plan, the button asks to cancel the subscription: your paid plan stays active until the end of the current period and then the account moves to Hobby. You keep what you paid for.
- To a cheaper paid plan, the change is made in Stripe and prorated.
6. Update the card
Press Update next to the payment method. It opens Stripe's billing portal, where you can replace the card, see the subscription and download receipts. When you come back, the page shows the new card. Manage in Stripe goes to the same place. Both only appear once you have a Stripe customer record, which is created with the first paid plan.
7. Find your invoices
At the bottom of the page, Billing history lists every payment.
- Columns. Date, Amount, Status (Paid, Failed, Open or Void) and Invoice. The last column links to the PDF invoice and the hosted invoice page when Stripe has produced one. In this demo account the links are empty.
Send the PDF to your accountant, or use Manage in Stripe to review the billing details Stripe holds.
When to change
Upgrade when a limit is in your way: the meter is full, a feature page says it is not included, or a team grows. Downgrade when you have emptied a server or a site for good and the smaller plan fits, and plan it for the end of a billing period so that you use what you paid for. A cancelled paid plan stays active until the period ends, so there is no benefit in acting early. If you are unsure, keep the plan and check the usage page for a month first.
Troubleshooting
- "You cannot move to Hobby yet. Reduce first: ..." The check found more servers, sites, members or organisations than the plan allows. The message names each one and how many you use against the limit.
- I cannot see Update or Manage in Stripe. They only appear when you are the owner and Stripe has a customer record for your account, which happens with the first paid subscription.
- The upgrade button is missing, and I see Contact sales. The plan cannot be bought online from your account. Use the link to contact SrvYard.
- I upgraded but the plan did not change. Stripe confirms the payment first. Reload the Billing page after a minute. If you left the checkout without paying, the address ends in
?checkout=cancelled: start again. - The currency switch is greyed out. A subscription fixes the currency. See "Choose your currency" above.
- My card was declined. Update it in the portal and retry. The history shows the payment as Failed.
- I want to see what changes before I commit. Open the dialog: You get and You lose list everything, and Cancel leaves things as they are.
